Technical, staging, and hospitality requirements for a Harvey L. Phelps engagement. Attached to and incorporated in the Speaker Booking Agreement.

I · Staging & Room

Stage: Riser or elevated stage preferred. Minimum 8'×12'. Podium optional (Speaker prefers to walk).

Seating: Theater or classroom style. For fireside format, two upholstered armchairs and a small side table.

Lighting: Even stage wash. No spotlight in Speaker's eyes. House lights kept up 25% for audience visibility.

Water: Room-temperature bottled water on stage. No ice.

Microphone: Lavalier (lav) preferred. Handheld acceptable for fireside. No podium-fixed mic.

Backup: Second wireless mic on standby.

Sound check: 30 minutes prior to program with Speaker present.

Q&A: Two wireless handheld or aisle-runner mics for audience questions.

Screen: 16:9 primary screen visible from all seats. Backup confidence monitor at stage-front.

Slides: Speaker provides own 16:9 keynote deck via USB-C or provided laptop. HDMI backup cable required.

Clicker: Wireless presenter clicker with laser pointer, tested prior to program.

Countdown timer: Visible confidence-monitor timer if program is time-boxed.

Green room: Private, quiet space near stage. Available minimum 60 minutes before program start.

Refreshments: Coffee, hot tea (English breakfast preferred), room-temperature water, light fruit.

WiFi: Password provided to Speaker in advance.

Dietary: Any provided meal to accommodate no dietary restrictions unless Speaker notifies otherwise.

Introduction: Official introduction (max 90 seconds) provided at least one week in advance. Do not embellish.

Book signing: If Unconscious Bias is offered, a signing table with two chairs, water, and a Sharpie is arranged after the program.

Post-program access: Client's senior sponsor available for a brief private debrief within 24 hours.

Internal recording permitted for Client's own replay only. Public distribution requires separate written approval.
